Protocols to use in planning for trade shows

Protocols to use in planning for trade shows

As we know that restart or reopening the exhibitions is not going to be easy and encountering the challenges in managing the exhibitions and events such as mass gathering, meeting arrangements, participants participation etc. this COVID-19 outbreak.

Guidelines and safety protocols has been designed and arranged according to WHO and health institution’s instructions.

Design of the exhibition lay-out (lay-out following social distancing)

Design should be to ensure that each person is seated at a distance of 6 feet from each other in order to shield; even if COVID positive person is present then too respiratory infections should not be transmitted to others for this have to ensure that personal precautions must be applied properly as face mask, face the sheet had sanitization, etc. There should be different strategies in exhibitions and events for safety.

Meetings, conferences & Exhibitions

  1. To avoid overcrowding you must have to ensure to open all entry and exit door as people should not have only one entry and exit door because it can cause an unnecessary crowd also, utter health screening process must be there for every person.
  2. Proper disaster management arrangement has to manage to avoid panic among the crowd in order to take care of public health & for an effective exhibition.
  3. Proper planning should be therefor mealtime so that people should not crowd at the same time, proper time spare arrangement must take place for lunch & Dinner also good hygiene and safety practice should be there in every individual.
  4. Online registrations, getting certificates, getting entry after the scanning of your badge everything has to be contactless & paperless.- 6 feet distance
  5. At the same time we have to manage manpower we have in the safest possible way in order to avoid lay-off, availing proper safety kit & safety precautions.

Travel planning - participants from one place to other

We have to be very alert for our participants as their safety is all our responsibility and duty. Every tour plan have to be ensured would safe and disinfected either it is BUS, CAR, AIRCRAFT etc.

We know lot of investment is going to be happening in technology in this industry, hands free equipments and push doors because the advantage of push doors is that you don’t have to use your hand to open it or close it as it can be done with the help of elbow meanwhile, would be helpful in decreasing lot of constant contacts.

COVID-19 Safety precautions & guidelines

Contact Log or Contact Trace – As we know that people who have close contact with someone  who has COVID-19  may be at higher risk of infection hence, through contact log if any person is found corona positive  then all the recent contacts will also be tracked down who physically contacted him in past few days then they will also be tested to ensure the safety of others, by the same token, it will also be checked what safety precautions would have been taken as mask , face sheet, gloves, sanitizer etc.

Physical distancing: Ensure each individual maintain 6 feet distance wherever we are going, or staying in offices because there are a chances that people may follow these instructions when they are outside the office

Rest Rooms (tabs, toilet seats, elevators, Flushes etc.)- How to ensure safety from respiratory disease from these things are significant, proper time to time disinfections arrangements should be there in rest rooms.

Policies for regular sanitization & Disinfection:

Here suppose in Exhibition hall one person is found infection positive what do you think decision should be taken in such situation to make sure for the next guest to ingress?

Does it need utter disinfection or completely closed down, decision is depend on certain points as mentioned below:

1.       How was the ventilation and air conditioning in that room

2.       As we know the ideal air conditioning temperature for this disease is between 24 degree to 30 degrees and the humidity level is 40-70%.

3.       How is the Fresh air entry in room? Is it a centralized air conditioning versus standing air-conditioner in every room?

4.       Which are the areas that you actually need to take care when you modify any ventilation services.

Employee illness Management plans in any Institution, hotel or an event company or a travel agency.

We cannot enumerate any plan after the employee’s ingresses because after this it will be difficult to manage crowd and obeying instructions announced hence, everything we have to plan in advance.

Such as:

1.       Arrangements of tables & chairs with 6 feet distance & each invidual table & chair should be clean and disinfected.

2.       How do you avoid overcrowding also making sure that not too many people are waiting out?

3.       Proper employee advisory, individual practice is very important to follow all protocols of safety.

4.       Personal protective equipments, personal hygiene & safety kit should be provided.

5.       Food arrangements as package food and in room deliveries, buffet or hot meals should be served also food which will be prepared in kitchen that has to be very hygienic.

How to avoid downstream effects:

Misinformation of fear is used to market something which has no meaning.

Disinfection tunnels: these tunnels are being widely used in many cities including Delhi but not in Mumbai, to disinfect a person when the person walk through these tunnels; but misconception is that the person who has walked through these tunnels is not at all going to spread this infection ahead which is not true. The truth is that COVID infections can be spread when a person coughs or sneeze these tunnels only can eradicate virus from clothes, shoes etc.

This has already been informed by WHO that the person who is COVID-positive is sneezed or cough even after disinfected through disinfection tunnels can transmit the infection, in addition with WHO many other health institutions has already said in the guidelines that disinfections tunnels are not safe, conversely has many physical, psychological damage.

We do conduct very in-depth safety exhibitions by medical experts

To avoid all the disaster of the infection we have to set all the protocols very effectively, we have to keep everything disinfected at the top.

Make sure that we are very well prepared for everything before the open up.

Disease preventions- We have to start safe, we have to work safe, we have to stay safe by keeping in mind all the safety protocols during the exhibition.
